The chat in each area: who helps you and how to hand the conversation to MIA

Updated 2026-10-22

In two lines: when you open the chat in an area of MB Suite, that area's specialist helps you —Sofía in the CRM, for example— and, outside an area, MIA. If you ask for something outside its area, Hand off to MIA passes the same conversation to MIA, who works across every area, and Go back to Sofía brings it back.

Who helps you when you open the chat?

Open the panel with ⌘J (Ctrl+J on Windows) or the MB AI button. If you don't have a conversation in progress, the agent of the area you're in helps you, in this order:

  • The one your team assigned — if your organization chose an agent for that area in AI Agents, in the Assigned modules & seats panel (see System agents: an expert for each area).
  • The area's MB Suite specialist — if your team didn't choose another one. The table below shows who it is in each area.
  • MIA — outside an area, such as Overview, and in Management, where MIA is the default.

The panel only picks among the agents you can use: your team can limit an agent to some roles or people. And if you already had a conversation open, it continues with whoever was handling it.

When a specialist helps you because of the area you're in, a line under the header says so while the conversation is empty: “Sofía is helping you because you're in CRM · Switch”. Switch opens the list of agents; its ✕ (Don't show again) hides the line in that browser.

What do you see at the top of the panel?

  • The face, name and role of whoever is helping you — with MIA, the second line says Your copilot in MB Suite; with one of your team's agents that has no role, its description. Clicking them opens the list of agents, to choose another one.
  • The level label — it carries the name of whoever is helping you: with Sofía, its menu says How Sofía works (more below).

Every agent, including the ones your team creates, is an artificial intelligence: if you ask, it confirms it, and it never pretends to be a person or to be MIA.

How do I choose another agent?

  • Click the face or the name of whoever is helping you, or Switch on the line under the header: the list of agents you can use opens.
  • Choose one. If you had a conversation with another agent, a new conversation starts with the one you chose; the previous one stays in History.
  • While the panel is open, it doesn't change agents on its own: what you choose is kept.
You can also open an agent from AI Agents: hover over its card and use Chat. In an agency, an agent created for an Account only works inside that Account, and only for the workspace's people.

What happens if you ask for something outside its area?

Each agent works in the modules of its area. If you ask for something from another module, it doesn't reach it another way: it tells you so —in the steps, that step reads “Outside my area.”— and, under its answer, it leaves you a card to hand the conversation to MIA:

  • At the top it says Outside Sofía's area and the module, and the title: “MIA handles this: she works across every area”.
  • Hand off to MIA (Enter) passes her the conversation: the card shows “You handed off the conversation to MIA” and the header changes right away.
  • Stay with Sofía (Esc) dismisses it (“You stayed with Sofía”): the specialist helps with what it can in its area, such as an explanation, a plan or a proposal in its modules.
  • If you had already handed the conversation to MIA —for example, with the Hand off to MIA chip or with ⌘⇧E—, the card looks faded and has no buttons: “MIA already has this conversation”.

How do I hand the conversation to MIA, and how do I go back?

  • At any moment, use Hand off to MIA, the violet chip with MIA's face just above the message box. Its tooltip explains it: “MIA works across every area · ⌘⇧E”.
  • From the keyboard: ⌘⇧E (Ctrl+Shift+E on Windows), with the focus inside the panel.
  • It's the same conversation: MIA picks up with what you talked about, and a line with both faces records it: “You handed off the conversation from Sofía to MIA: it's the same conversation.”
  • To go back, use Go back to Sofía, in the same place, with Sofía's face: the conversation returns to the specialist (“You went back to Sofía: it's the same conversation.”).

The change shows right away; if it can't be made, the header goes back to how it was and lets you know. While a reply is coming in, wait for it to finish: “Wait for the reply to finish before handing off the conversation.”

The shortcut only works with the focus inside the panel because, in MB Suite's text editors, ⌘⇧E centers the text.

What else changes with an agent?

  • The start — the agent introduces itself (“I'm Sofía. What should we do?”), tells you how it works for you and offers up to 4 of its suggestions.
  • Its name in the chat — the message box says “Ask Sofía anything…” and, while it prepares the answer, “Sofía is thinking…”.
  • History — each conversation shows the face and name of whoever handles it, and opening one switches the panel to its agent. If the list has conversations with more than one agent, chips to filter appear at the top: All and one per agent.
  • The search (⌘K) — if what you type matches no page or action, besides Ask MIA: “…”, in a specialist's area it offers Ask Sofía: “…”, which takes your request to the specialist. It's the area's MB Suite specialist, even if your team assigned another agent there: you'll find that one when you open the panel.
  • More options (⋯) — See everything MIA and the agents did opens Activity with what was done with MIA and with the agents (it doesn't filter by agent yet), and What MIA remembers takes you to the account's memory, in Settings > MIA.
  • The panel's footer — the model of whoever is helping you, with Processed by… and the AI Transparency link. With MIA, or with an agent that uses a MIA model, it says Processed by MIA.

What can each agent do?

The same as MIA, inside its area and with your permissions, never more: it checks your data, prepares changes and leaves the same cards, with the same buttons (see Apply, confirm and undo what MIA does: the cards). Everything it does is recorded under your name in Activity, with the agent's name: with Sofía (or with Valentina (custom agent), if it's one of your team's).

  • Your level applies to all of them — Proposes or Acts is your choice and applies with any agent; you change it from the label at the top of the panel (see The two levels of MIA: Proposes and Acts).
  • Where it acts and where it proposes — in some modules of its area an agent acts, and in others it only proposes. The lowest of four always applies: the account's ceiling, your choice, what the agent has in that module and, with one of your team's agents, who wrote its instructions: unless they're MB Suite's or were written by you, by an owner or by an admin, with you it proposes where it says Acts (see What it knows and where it works: set up an agent module by module).
  • The memory is the same — agents follow the account profile, its rules and your preferences, and they write down what they learn in their own notes (see What MIA remembers: your account's memory and how to correct it).
  • The setup is MIA's — an agent doesn't set up a new account: for that, hand the conversation to MIA. A background job, on the other hand, you can also ask of the agent: when the work is long, it proposes one and does it itself, within its area (see Background jobs: hand MIA the long work and get on with yours).

How many credits does an agent use?

Each request to an agent uses your account's AI credits —in the Chat category, like MIA—, and what it really used is charged; how much depends on the model it works with. Under each answer you see how much it was and, in AI Agents > Usage, under By Agent, how much each one used (see How MIA uses your AI credits).

What if an agent isn't available?

  • “This agent isn't available here yet: you can ask MIA.” — for example, if the agent was turned off or you no longer have access to it. Ask MIA opens a new conversation with MIA, with your request already typed.
  • “That agent isn't available to continue this conversation.” — when you use Go back to {agent} with one you can no longer use: the conversation stays with MIA.

Your conversations with an agent work like the ones with MIA: only you read them, they're kept for 12 months and Delete really deletes them (see MIA and your data: what it sees, what it never sees and how long it's kept).

MIA processes your account's data with an AI provider chosen by MB Suite. A specialist or one of your team's agents processes it with the provider of that agent's model —for example, Google (Gemini), Anthropic (Claude) or OpenAI (GPT)—: the one MB Suite chooses for each specialist, or the one your team chose for its own agent. The use of the agents and the handling of your data are governed by our Terms and Conditions and our Privacy Notice.

Still have questions?

Ask MIA, the MB Suite AI assistant: open it with the MB AI button (⌘J) in the top bar. MIA knows the section you're in, so you can ask it about what you see on screen — and it can also answer how-to questions about using MB Suite.
