What does MIA remember about your account?
- Account profile — industry, type of business, goals, platforms, team and tone. MIA keeps it in mind in every message.
- Rules — what your team wants MIA to always do, such as “emails to clients always use a formal tone”. MIA follows them in every message.
- Preferences — how you like to work, such as “I prefer short answers, in bullet points”. They're only yours.
- What it learned — what MIA learned while working in your account. It checks it when it helps.
- Maps — guides written in markdown about how your account is set up, such as a “CRM map”. MIA reads them when it needs to.
Your workspace and each of its Accounts have their own memory. MIA uses whatever you change from your next message on.
How do I ask MIA to remember something?
- Ask in the chat, in your own words: “remember that…”, “from now on…”. MIA saves rules, your preferences and the profile only when you ask; on its own, it only notes things in What it learned, and only what it's sure will help later.
- If MIA is set to Acts for you, it saves it and shows it under its answer on a Saved to memory card, with Undo and View, which takes you to the memory.
- If it's set to Proposes, it leaves you an I propose saving this to memory card, with the text in view: Save (Enter) saves it and Dismiss (Esc) doesn't. If what it proposes is deleting something, the button says Delete.
- Undo puts the memory back as it was before that change, as long as nobody changed it afterwards; if someone did, correct it on the memory screen.
Where do I see and correct what it remembers?
- Go to Settings > MIA. The page has three tabs: What MIA remembers, How it works and History.
- In What MIA remembers you find each section, with who wrote each thing, when and where it came from: You asked in the chat (or From the chat, if someone else asked), Added by hand or Support. At the top, a bar shows how much of the memory is in use.
- To add something by hand, use Add rule or Add preference, write it and confirm with Add (Enter saves, Esc cancels).
- To change a field of the profile (owner and admins), click it, type and press Enter. If you leave it empty, it's deleted.
- Each entry's ⋯ menu (More actions) has Edit, Delete and Delete forever.
- Maps: to read one, open it. The owner and admins create them with New map, which asks for a title and the content, in markdown (confirm with Create map), and edit or delete them from the open map. The title can't be changed afterwards: it's what identifies the map.
Who can see and change what?
| Section | Viewer | Member | Owner and admin |
|---|---|---|---|
| Account profile | Sees it | Sees it | Sees it and edits it |
| Rules | Sees them | Sees them, adds their own and edits or deletes only their own | All of them |
| Preferences | — | Their own | Their own |
| What it learned | Sees it | Sees it | Sees it, edits it and deletes it |
| Maps | Sees them | Sees them | Creates, edits and deletes them |
| Each agent's notes | Sees them | Sees them; edits and deletes the ones an agent wrote down in their conversations | Edits and deletes them |
| Restore a version | — | Only of their preferences | Any of them |
| How it works (its switches) | Sees it | Sees it | Changes them |
The rules the owner or an admin add apply to the whole team; in a client Account, so do the ones added by the owner and the admins of its workspace. A member's rules apply only when that person talks to MIA, and they carry the Only in their conversations mark (or Only in your conversations, if they're yours).
Only you see your preferences. MIA and the agents use them in your conversations, so they go with each message to the AI provider of whoever is helping you, and MB Suite support can see them by recording the reason.
What are each agent's notes?
The MB Suite specialists and your team's agents that work in the chat use this same memory: they follow the account profile, the rules and your preferences. What they learn working in your account they write down in their own notes, never in What it learned, which is MIA's. Each agent reads only its own notes: neither the other agents nor MIA see them (see The chat in each area: who helps you and how to hand the conversation to MIA).
- Where you see them — in Settings > MIA, in What MIA remembers, the Each agent's notes section shows one card per agent, with its face, its name and how many notes it has. Each note says which conversations it came from (Noted in your conversations or Noted in Ana's conversations) and when. Everyone in the account sees them.
- In which conversations they count — what an agent writes down in the conversation of someone who isn't an owner or an admin comes back only in that person's conversations with that agent; what it writes down with the owner or an admin, in everyone's.
- How they're corrected — in each note's More actions menu: Edit, Delete or Delete forever. The owner and the admins can do it with any note, and each person with the ones an agent wrote down in their conversations. You can't add a note by hand: the agent writes them. In History, the owner or an admin can also go back to an earlier version of an agent's notes.
- When it doesn't show up — if no agent other than MIA has written anything down, the section doesn't appear.
What's the difference between Delete and Delete forever?
- Delete — MIA stops taking it into account from the next message on, but it stays in the History: if you made a mistake, you restore it from there.
- Delete forever — it leaves the memory and also the History and MIA's chat cards, including the ones that proposed saving it. It can't be undone or restored. In the profile, it deletes every value that field ever had; in a map, the map with all its versions.
- If you already deleted something and now want no trace of it left, find it in the History: the change that deleted it offers Delete forever.
How do I go back to an earlier version?
- Open the History tab: every change to the memory, with who made it, what changed, when and, if they left one, the Reason.
- On the change you want to go back to, click Restore this version and confirm with Restore.
- The whole section goes back to how it was in that version. What's there now stays in the History, so you can go back; whatever was deleted forever doesn't come back.
Can I turn the memory off?
Yes. In the How it works tab, the owner or an admin turns off MIA remembers: from then on, MIA doesn't read the memory or save anything new in that account. What was already saved stays in view and can be deleted. To use it again, turn the same switch back on, or use Turn on “MIA remembers” from the notice in What MIA remembers.
What does MIA never save?
- Passwords, tokens and card numbers — never, whoever writes them. For credentials there's the Vault.
- Personal data —emails, phone numbers, ID documents, bank accounts— MIA doesn't save from the chat. If it's really needed, you can save it yourself from the screen: it asks “Save it anyway?” and it's only saved if you confirm with Save anyway. Contact details belong in the CRM.
- Health data or other sensitive data about a person —yours included—, or what someone else wrote.
- Anything, in a request where it read text written by other people —your records, a file you attached, settings anyone on your team can write or what comes from the web—, so none of it can turn into a rule. MIA tells you: add it yourself on the memory screen or ask in a new conversation.
How long is it kept?
- What's in the memory — until you delete it.
- The versions in the History — for each section and each map, the 20 most recent are kept and, of the older ones, those from the last 90 days, up to 200. Older ones are deleted on their own the next time that section changes.
- The monthly record — month by month, MIA notes how many changes it made in your account and of what kind, without names or contents, to remember what it did. The current month and the 12 before it are kept. The detail of each change is in Activity.
- Your preferences — they're deleted if you stop having access to the account.
- An agent's notes — until someone deletes them; when one of your team's agents is permanently deleted, once it leaves the trash, its notes are deleted with it.
- Everything — if the account is permanently deleted, its memory is deleted with it.
Still have questions?
Ask MIA, the MB Suite AI assistant: open it with the MB AI button (⌘J) in the top bar. MIA knows the section you're in, so you can ask it about what you see on screen — and it can also answer how-to questions about using MB Suite.
