Building a dashboard is explained in Build your first multi-platform dashboard. This article is about what comes after: when you already have dozens of templates across platforms and people, and you need to find one, know whether it's ready, or bring order to the list. You'll find it in Analytics > Dashboards, on the Templates tab.
Workspace vs. System: the two sections of the list
The list arrives split into two blocks, and telling them apart saves you from looking for an edit button that isn't there:
- Workspace Templates — the ones your team created. You edit, publish, duplicate, label and delete them.
- System Templates — the ones MB Suite ships, marked with the System badge. They're read-only: you can't edit or delete them, only take them as a starting point.
To take a system model to your side, use Duplicate to my workspace on the system card. It creates a copy that's already yours: you open it, adapt it and publish it without touching the original.
What Draft and Published mean
Every workspace template carries a state chip in the Status column (or on its card in grid view). It's the difference between a work in progress and something your team can safely reuse:
- Draft — still being built. It stays in the list for you to keep working on it, but it isn't offered as a finished model.
- Published — ready to be used as a base for new dashboards. This is what tells the rest of the team "this one you can trust".
You switch between the two from the template's actions menu: Publish when it's ready, Move to draft to pull it back while you rework it.
Create, duplicate and label
- Create Template opens a new model from scratch: you give it a name, a data source and the platforms it supports.
- Duplicate clones one of your workspace templates, to adapt it to another client or another channel without starting over.
- Edit opens the template's editor; Delete removes it from the workspace.
- Manage labels creates and edits the labels you attach to your templates; the label icon in the toolbar (Filter by label) then narrows the list down to one of them.
- You can also select several templates and apply labels to all of them at once, instead of opening one by one.
Find a template: search and quick filters
- Use the search box at the top to find by template name.
- Open Filters to narrow the list down. In Quick filters you combine five controls that stack with each other.
- Mine — the Only mine toggle leaves only the templates you created.
- Type — All, Workspace or System, to work on one section at a time.
- Platform — pick one or more platforms and you're left with the templates that support any of them.
- Status — All, Published or Draft.
- Creator — who set up each template. In a team where several people prepare models, it's the fastest way to know who to ask about one.
- Clear resets the quick filters and brings the whole list back.
Save the filters you repeat
If you apply the same combination every week, turn it into a saved filter. In the Custom section of the Filters panel you build a filter over fields like Name, Type, Status, Platforms, Creator, Labels, Created date or Last updated, and you keep it:
- Private — only you see it. Good for your own working views.
- Shared — visible to your whole team, so everyone reads the library the same way.
- Favorite — marks it so it's always within reach at the top.
The Dashboards tab, next to this one, carries the same filter system over the dashboards themselves, though not with the same fields: there the quick filters are Platform, Creator and Favorites (the Mine toggle only exists here, on templates), and the saved-filter builder adds the Origin field (Workspace, System or Inherited). It has no sort panel, but dragging behaves the same way: with any filter active, manual reordering is disabled. See Build your first multi-platform dashboard.
Reports works the same way: its list filters by Account, Status and Creator, and its own Templates tab repeats this library almost field for field, sort panel included. It's in Reports and Explorations.
Sort the list (and save the sort)
Next to Filters you have the Sort panel. Quick sort applies a single criterion in one click; the Custom section keeps multi-level sorts, which break ties by a second (or third) criterion:
- Position — the manual order you set by dragging. It's the one that comes applied by default, and clicking it takes you back to that order.
- Name — alphabetical, to find one by title when the library grew.
- Status — groups drafts and published ones, to see at a glance what's still pending.
- Created date — the newest ones first (or last).
- Last updated — what someone touched most recently. Useful for reviewing what changed since the last time you looked.
A saved sort is kept just like a filter: Private for you, Shared for the whole team, and Favorite to keep it at hand. And Clear in the sort panel returns the list to its manual order.
Grid or table: choose how you look at the list
The view selector in the toolbar switches between Grid and Table. Grid is best for recognizing a template by its card and reordering by dragging; Table is best for comparing many at once, because it shows Labels, Platforms, Pages, Widgets, Status and Created in columns.
Still have questions?
Ask MIA, the MB Suite AI assistant: open it with the MB AI button (⌘J) in the top bar. MIA knows the section you're in, so you can ask it about what you see on screen — and it can also answer how-to questions about using MB Suite.
