Manage your deliveries: statuses, filters and the list

In two lines: the deliveries list is where you check that everything is going out as it should. Filter it, save the filters you repeat, and read the status of each delivery at a glance.

Creating a delivery is explained in Reports and Explorations. This article is about what comes after: when you already have dozens of deliveries across several accounts and you need to find one, check whether last month's went out, or see which ones are still running on their own.

What each status means

Every delivery carries a status chip in the Status column. Reading it right saves you from chasing problems that don't exist:

  • Draft — started but not scheduled. It will not go out on its own; you have to finish it.
  • Scheduled — it has a date and will go out once, on its own.
  • Recurring — it repeats on a cadence (for example, the first of every month). This is the one that works for you while you sleep.
  • Sending — it's going out right now. It's a temporary state; refresh in a moment.
  • Sent — it reached its recipients. The detail of each send is in Send history.
  • Failed — the send didn't complete. Open the delivery to see what happened.
  • Paused — it exists but isn't running. It won't go out until you reactivate it.
A delivery in Failed does not retry by itself. Open it with View details, check the recipients in Recipients and the record in Send history, and once you've corrected the cause use Send now to send it manually. Fixing the delivery's content or schedule does not resend what already failed.

Find a delivery: search and quick filters

  • Open Analytics > Deliveries. The list shows every delivery you have access to.
  • Use the search box to find by account name, or open Filters to narrow the list down.
  • In Quick filters you combine Status, Account, Labels and Creator. They stack: "recurring, from this client, created by me".
  • Clear resets the quick filters and brings the whole list back.

The Creator column shows, with an avatar, who set up each delivery. In a team where several people prepare client reports, it's the fastest way to know who to ask about one.

Save the filters you repeat

If you find yourself applying the same combination every Monday, turn it into a saved filter. In the Custom section of the Filters panel you build a filter over fields like account name, status, mode, labels, creator, next send, last sent or creation date, and you keep it:

  • Private — only you see it. Good for your own working views.
  • Shared — visible to your whole team, so everyone reads the operation the same way.
  • Favorite — marks it so it's always within reach at the top.
Save a Shared filter called "Active recurring" (status Recurring) so the whole team can see at a glance which deliveries are still running on their own. It's the fastest monthly check that no client stopped receiving their report.

Adjust the view: density and pagination

  • Open the Display menu, to the right of the toolbar.
  • In Density choose Comfortable, Compact or Ultra, depending on how many deliveries you want to see without scrolling.
  • In Rows choose Plain or Striped. Striped rows help you follow a long row across to the right.
  • At the foot of the table, choose how many deliveries to show per page (25, 50, 100 or 200; it starts at 100) and move between pages.

Your density and row choices are remembered, so the list opens the way you left it next time.

Act on a delivery from the list

  • View details — opens the panel with content, recipients, schedule and Send history.
  • Edit — resumes a draft where you left it.
  • Duplicate — clones a delivery that worked, to adapt it to another account without starting over.
  • Cancel schedule — available on scheduled or recurring deliveries.
  • Manage labels — creates and edits the labels you then filter by.
Cancel schedule returns the delivery to Draft: it stops going out on its own until you schedule it again. It doesn't delete anything, and you can reschedule it whenever you want — but if it was a client's monthly report, that client stops receiving it in the meantime.
Combine Labels with a shared filter to separate what each delivery is for (for example, monthly report vs. weekly alert). Labeling once pays off every time you come back to the list.
