Recover what was deleted: the organization's Trash

In two lines: what you delete in MB Suite isn't always lost on the spot: in the modules that keep a copy, it waits 30 days in Settings > Trash. From there, the owner and the admins bring it back with Restore.

What does the Trash show?

What was deleted in the last 30 days in the modules that keep a copy when something is deleted, newest first. What lands here depends on the module: some keep a copy of everything they delete, others only of some things, and others don't go through the Trash.

If something you deleted doesn't show up in the Trash, that deletion kept no copy and can't be restored. Before deleting something important, think about whether you'll need it again.

Each organization has its own Trash: your workspace's shows what was deleted in the workspace, and each Account has its own, which you see by entering that Account and opening Settings > Trash.

How do I find what I'm looking for?

  • Go to Settings > Trash. Only the owner and the admins see it in the menu.
  • Narrow the list with All modules: it only offers the modules that have something in the Trash. When you pick one, All types shows up next to it, with that module's types.
  • Or type in Search by name or by who deleted it. The search looks at the rows already loaded: if you don't find it, use Load more at the bottom or narrow by module and type.
  • Check the row: Type, Name —and, below it, the module, when you're viewing all of them—, Deleted by —and, below the person, where it was deleted from—, When —hover over it for the exact date— and Expires.
The filters stay in the page's address: you can save or share the link to the Trash already filtered.

How do I restore something?

  • Press Restore on the row. The row leaves the Trash at once and a message confirms it: the record is back where it was.
  • If the deletion took linked records with it, the row says how many below the name, and restoring brings them all back together.
  • If another record took the original's place in the meantime, it comes back with a new ID, and the message tells you so.

Some rows have Restore disabled: they're reference-only copies —for example, the one a merge leaves, or the copy of something that was also deleted outside MB Suite—. Hover over the button to see why.

What if it can't be restored, or only part of it comes back?

When bringing the record back clashes with what exists today, MB Suite restores nothing and the message tells you what to do first. For example, if what the record belonged to no longer exists —the item a comment was on, say—, it asks you to restore that item first; and if another active record now takes its place, it asks you to sort that out before. The row comes back to the list, so you can try again once it's solved.

If the record comes back but part of what was deleted with it doesn't, the message won't just say it was restored: it tells you how many of its linked records came back (for example, “only 3 of 5 linked records came back”). The row doesn't return to the Trash, so a second Restore can't duplicate the record; if you need what's missing, write to us at support@mb-suite.com.

Who can restore, and for how long?

Only the organization's owner and admins see the Trash and restore from it; anyone else who opens it finds the section locked. If someone on your team deletes something by mistake, they ask the owner or an admin to restore it; telling them what it was and roughly when it was deleted makes it quick to find.

Each record stays for 30 days from the moment it was deleted. The Expires column counts them down and turns amber, with a clock, when fewer than 3 are left; after that, the record leaves the Trash and can no longer be restored.

Can I erase something for good before the 30 days are up?

Yes, but only the organization's owner. Next to Restore, the owner sees a red icon, Delete permanently: it erases the copy kept in the Trash —and, if the row has linked records, theirs too— and asks you to confirm before doing it. It's meant for when the data must not remain anywhere, such as a privacy request; for everything else, let the record expire on its own.

There's no going back: after Delete permanently, the record leaves the Trash and can no longer be restored. How we handle personal data and privacy requests is governed by our Terms and Conditions.

And the CRM's Trash?

It's this same Trash, filtered to the CRM: you'll find it in CRM > Settings > Trash, with the See the whole organization's trash link to come back here. While it's in the Trash, each deleted record is kept as a full copy —including any personal data it had—, and only the owner and the admins can get into the Trash; the handling of that data in MB Suite is governed by our Terms and Conditions.
